Opportunity for a Commercial Workplace Services Coordinator
We have an exciting opportunity for a Commercial Workplace Services Coordinator to join the NHVR, based in Brisbane. In this role, you will provide leadership and coordination across workplace services, operational reporting, and administrative support within the Commercial Property portfolio.
You will play a key role in ensuring consistent and effective workplace operations across NHVR’s state head office locations by supervising Workplace Support Officers, coordinating operational processes, and delivering accurate and timely reporting. Your insights and support will help drive effective planning, prioritisation, and decision-making while contributing to a positive and efficient workplace experience for employees and stakeholders.
About the Role
Workplace Services Leadership
• Provide leadership and day-to-day supervision of Workplace Service Officers, ensuring consistent service delivery standards across NHVR state head office locations.
• Coordinate workplace operations including reception functions, office services, facilities coordination and workplace support activities across all corporate offices.
• Contract management of office supply, kitchen and ancillary services contracts
• Act as an escalation point for workplace operational issues and coordinate timely resolution.
• Monitor workplace service performance and implement improvements to enhance operational effectiveness.
Operational Reporting and Support
• Coordinate structured operational reporting across the Commercial Property portfolio including performance, financial and activity reporting.
• Prepare and maintain dashboards, reports and insights that support leadership visibility and decision making.
• Work collaboratively with National Stream Leads and internal stakeholders to support service delivery activities.
• Prepare and maintain structured operational and financial reporting, dashboards and performance updates to provide clear visibility of performance, risks and priorities.
• Support the discovery and implementation phases of the Asset Management Information System project and ongoing system maintenance and coordination.
• Provide administration support to enable effective, efficient team functioning including, shared mailbox management, drafting materials, records management and meeting coordination.
• Maintain vendor documentation and coordinate onboarding requirements.
• Adhere to all NHVR policies and procedures to ensure compliance with NHVR internal processes.
• Comply with WH&S policies and procedures and contribute and promote a safe and health work environment.
About you
• Demonstrated experience supervising operational teams in a multi-site environment.
• Strong operational coordination skills with the ability to manage competing priorities and deliver outcomes within agreed timeframes.
• Ability to prepare reports, dashboards or performance updates for leadership.
• Sound financial literacy skills.
• High attention to detail and capability in documentation and records management.
• Demonstrated interpersonal and negotiation skills and the ability to manage effective relationships with stakeholders, suppliers and management.
• Proven ability in and commitment to great customer service.
• Strong organisational and time management skills with the ability to prioritise tasks effectively.
• Strong written and verbal communication skills.
• Attention to detail and accuracy in documentation and data management.
• Project management methodology to enable the effective prioritisation and delivery of conflicting expectations / requirements.
• Proficiency in Microsoft Office Suite and contract management software/tools.
Qualifications and Experience
Essential to the role:
• Minimum 5 years demonstrated experience in workplace operations, facilities / property support, business coordination or similar operational environment.
• Demonstrated experience supervising or leading teams and coordinating administrative teams or workflows.
• Experience supporting organisational reporting cycles, performance reporting.
• Intermediate to advanced knowledge of Windows OS and Microsoft Office suite.
Highly Regarded:
• Degree or certification in business, property, facilities or fleet management or other relevant qualification.
• Project management skills and experience.
• Experience working in a government or regulatory environment.
• Demonstrated understanding of Property, Facilities, and Fleet management principles and practices.
