We are seeking a highly motivated, detail-oriented, and customer-focused Workplace Services Officer to join our dynamic team and provide exceptional support to the NHVR’s Parramatta office. In this pivotal role, you will be the first point of contact for the NHVR, offering a welcoming and professional experience for both internal and external stakeholders. Your duties will range from coordinating administrative tasks to ensuring smooth and secure office operations, all while delivering outstanding customer service.

Key Responsibilities:

  • Greet clients and visitors with a friendly and professional approach, ensuring timely sign-ins
  • Liaise with the Concierge desk to escort customers to the main office floor and maintain office security
  • Provide support to staff by assisting with visitor coordination, taxi bookings, and catering arrangements
  • Issue security/access cards to staff, guests, and visitors, maintaining accurate records of ID card distribution
  • Manage car park bookings and passes for staff and visitors
  • Oversee incoming and outgoing mail and courier deliveries, accurately logging them into the records management system
  • Order and maintain office supplies, including stationery and business card proofs
  • Maintain cleanliness and organization of meeting rooms and kitchenette areas
  • Coordinate the weekly delivery of fruit and milk to kitchen areas.
  • Assist with general administrative tasks for Managers, Directors, and various teams.
  • Offer assistance with overflow tasks, supporting other departments and business units.
  • Provide assistance in resolving building-related issues in collaboration with the Commercial Services team.

Skills and Qualifications:

  • Excellent communication skills and the ability to work effectively as part of a team.
  • Strong interpersonal skills with the ability to engage with customers, colleagues, and contractors.
  • Proactive problem-solving skills, with a focus on high-quality administrative support.
  • Strong time management and organisational abilities.
  • High attention to detail and commitment to personal presentation.
  • Previous experience in a customer-facing environment.
  • Strong administrative and organizational capabilities.
  • Relevant qualifications or experience in business administration.
  • Knowledge or the ability to quickly learn about the heavy vehicle industry.
  • Proficient in the MS Office suite.
  • Experience using office equipment such as printers, scanners, and ID card machines.
